Can I assign a request to multiple users?
Requests in PublicStuff cannot be assigned to multiple users. However, there are some steps to take in order to notify multiple users of request submissions and changes.
Using Notifications and Workflows
You can contact multiple users upon request submission, and the user will log in and assign the incoming request to themselves.
For Staff:
- Once you've received a request submission notification, click the link and log into PublicStuff Pro
- Review the details of the request, and click Edit Step in the Workflow section
- Choose yourself (or another appropriate staff member) from the dropdown
- Click Update Step to assign
Other staff will see that it's been assigned upon logging in to PublicStuff Pro, or by setting up a filter in Advanced Reports to check the latest assignments for that request type or department.
For Administrators:
- Request Type Setting
- Open Manage Request Types
- Choose the Request Type
- Scroll to Workflow
- Set the first step with the Department filled in, staff left blank
- Scroll to Notifications
- Add users to the list Request Notification list to be notified upon new request submissions
- Save
- Users
- Ensure that the users are set up in the correct departments. This type of workflow is fine for Staff level users, as they can edit and assign requests in their Department without an assigned user. More information on permission levels on Managing Users
