Staff training logistics: before the training

 

Training your staff to use PublicStuff Pro is an important part of successfully launching PublicStuff and ensuring that staff know how to direct resident requests.  PublicStuff recommends that trainings be held with all staff users in a classroom setting so they can benefit from the experience of shared learning and best practices across departments. Alternatively, you can schedule a training session with key department users, who will then separately train additional staff in their respective departments. In cases where managers train their staff, see ‘Staff Training Topics/ Agenda’ for recommended topics to cover during the staff training.  


Staff training logistics:

  1. Announce the details for the staff training sessions at least 2 ½ weeks before launch so staff users can schedule an appropriate session. You may need to schedule multiple sessions to accommodate all users.

  2. Prepare for the technological needs of the meeting. PublicStuff recommends the following equipment:

    1. Workstations or laptops that can be distributed to each user or shared between 2-3 users. Load each computer with PublicStuff Pro and the iframe link.

    2. Projector to share the trainer’s screen.


Communicating your staff training:

Use this staff email template to notify users users about upcoming staff trainings:

On [insert date], the [municipality name] will be launching PublicStuff, a non-emergency reporting tool. A one hour training will highlight the core features of PublicStuff so that all users are comfortable with the new system in advance of our launch. Topics covered during the training session include the following:

  1. Submission process from the resident side

  2. PublicStuff Pro staff workflow in depth, including:

    1. Reviewing request details

    2. Commenting internally and externally

    3. Re-assigning a request to another staff member

    4. Adding a request from a phone call

    5. Reporting and filtering basics (how to produce a list of overdue requests; open requests of a certain type e.g., Playground Equipment; how to view requests that are due soon in a list and on a map)

We highly recommend that employees bring a laptop or tablet with an activated PublicStuff login. Due to time constraints, we will not be able to reset user credentials during the training.   To reset your password, go to gov.publicstuff.com and click on the Forgot? link on that page.
